This position requires close collaboration with cross-functional teams to ensure seamless event logistics, effective communication, and alignment with overall marketing strategies. The coordinator will manage event timelines, vendor relationships, and promotional activities to maximize attendee engagement and brand experience. By analyzing event outcomes and gathering feedback, the role contributes to continuous improvement of event strategies and marketing initiatives. Ultimately, this position is essential for creating memorable experiences that strengthen client relationships and support the company’s market positioning.Specific job duties:Lead event management activities for internal and external partners to ensure exceptional show presence including event participation details, attendee administration, event vendor management, booth material & setup logistics, marketing collateral, giveaways and social promotion.Manage event registration processes, attendee communications, and on-site logistics to deliver a seamless experience for attendees and participants.Track and report on event performance metrics, analyse attendee feedback, and recommend improvements.Maintain vendor relationships for branded materials, exhibitors, locations, and partnerships.Support the creation and distribution of event-related content across digital channels to maximize reach/promotion.Manage event marketing budget, invoice reconciliation and expense tracking.Support with competitor and customer research projects as required for key initiatives.Supervisory Responsibility:  N/ADesired Skills and Qualifications:Bachelor’s degree in Marketing, Communications, or Business Administration, or related field3  years of event planning experience, or marketing-related functional responsibilitiesExperience within the healthcare,life science, or regulated industries (B2B or B2C) preferredExcellent organizational and project management skills with strong ability to manage many deliverables and timelines simultaneously to meet deadlines and stay on-budgetMust excel in fast-paced, entrepreneurial atmosphere and have a growth mindset to pivot quickly with new direction Must take ownership and accountability to work autonomously and move work forward in a strategic, efficient manner Natural ability for proactive outreach to various stakeholders and willingness to foster strong partnershipsMust have a foundation of clear, concise communication and presentation skills Experience with project management software (i.e. Smartsheet, Wrike, Monday.com), marketing automation tools (i.e. HubSpot), website content management systems (i.e. WordPress) and design software (i.e. Illustrator)Knowledge of customer relationship management platform (i.e. Salesforce) a plusProficient with Microsoft Office suiteOccasional travel may be requiredBenefits:At UBC, employee growth and well-being are always at the forefront.
