We are seeking a detail-oriented Contract Administrator to join our client's team in Santa Ana, CA. In this on-site role, you will oversee and streamline the contract documentation process for commercial equipment lease and loan transactions. Your efforts will directly impact transaction efficiency and client satisfaction by ensuring all documents are accurate, compliant, and timely.

Key Responsibilities

  • Coordinate the end-to-end contract process from initial origination to funding.
  • Prepare and review lease and loan documentation to ensure accuracy and compliance with policies.
  • Oversee UCC filing processes, resolve conflicts, and obtain required agreements.
  • Track, verify, and reconcile vendor invoices and proof of payments.
  • Communicate with internal stakeholders (sales, accounting, operations) to ensure smooth transaction flows.
  • Manage external communications with clients, vendors, and third-party service providers for equipment titling and documentation needs.
  • Maintain detailed transaction records and status updates in the CRM system.
  • Monitor insurance certificates and ensure compliance with transaction requirements.

Qualifications

  • Bachelor’s degree or relevant experience in contract administration or a similar role.
  • Strong attention to detail and organizational skills.
  • Experience with UCC filings and lien search processes is preferred.
  • Excellent communication and customer service skills.
  • Proficiency in CRM platforms and Microsoft Office Suite.
