We are seeking a highly organised and proactive Project Manager to support the Marketing structure across the Americas. This role ensures clarity, control, and consistency in the execution of all marketing deliverables, campaign workflows, cross-departmental initiatives, and event-related operations.
The Project Manager will be responsible for documentation, deadlines, scope control, prioritisation, reporting, and day-to-day workflow governance for a fast-paced and multi-regional marketing structure. The role is central to ensuring operational excellence between creative, growth, content, social, partnerships, and leadership teams, based on the functions outlined in our organisational chart.
This position requires strong communication skills, stakeholder management, and the ability to maintain organisation, discipline, and accountability across all parallel workstreams.
Key Responsibilities
- Manage day-to-day workflow, timelines, priorities, and task allocation across the marketing and events teams.
- Ensure documentation is always updated, organised, and accessible (briefs, scopes, minutes, timelines, decision logs).
- Control deadlines, scope, approvals, and delivery quality, proactively flagging risks and bottlenecks.
- Coordinate cross-team communication between Growth, Design, Content, Social, Partnerships, and Production.
- Maintain clear weekly project reports, dashboards, and status updates for leadership.
- Structure and manage all deliverables related to major events (creative assets, partner obligations, media deadlines, onsite needs).
- Act as an operational point of contact for agencies, suppliers, partners, and internal stakeholders.
- Standardise processes, templates, and workflows to improve speed, consistency, and accuracy.
- Support the Head with planning, prioritisation, and follow-up on strategic actions and decision-making.
- Maintain discipline in Basecamp (or chosen PM tool), ensuring all tasks and projects are tracked end-to-end.
Required Skills & Experience
- 3+ years in Project Management, Operations, Marketing PMO, or similar roles.
- Experience in fast-paced environments: events, media, advertising, technology, or entertainment.
- Familiarity with cross-functional creative structures (design, content, social, partnerships, growth).
- Experience with large-scale event deliverables is a strong advantage.
- Strong command of project management tools (Basecamp, Asana, Monday, Trello, Jira, Notion, etc.).
- Ability to build structured workflows, dashboards, and reporting documents.
- Solid understanding of marketing operations, campaign structures, deadlines, and briefing processes.
- Fluent English (essential – written and spoken) and Advanced Spanish (strong advantage for regional coordination).
