We partner closely with our clients’ revenue, marketing, and operations teams to drive measurable outcomes — not just activity.As we continue to grow, we’re looking for a senior, client-facing leader who can own relationships, lead media strategy, and connect execution to revenue outcomes.About the RoleThe Operations Manager is responsible for overseeing day-to-day financial operations, hiring and onboarding processes, HR administration, IT coordination, and general operational support. This role ensures that internal systems, vendors, contractors, and employees are supported efficiently and that operational processes run smoothly across the organization.  The Operations Manager reports directly to the Managing Director, Head of Account Services and supports them as needed.Core ResponsibilitiesFinance & PayrollManage and execute payroll, including reimbursable expenses, reporting, and post-payroll processesAdminister contractor payments, including setup, invoicing, billing, and 1099 processingOversee 401(k) administration, including execution and required reportingPrepare and distribute payroll and finance reports within established timelinesCoordinate internal fund transfers related to client revenue recognitionCommunicate finance-related processes to employees and contractorsAccounts Payable (AP)Manage approval workflows for bills and expensesMonitor cash balances to ensure timely payment of expensesProcess vendor, contractor, and freelancer payments, including international paymentsTroubleshoot vendor billing issues and respond to payment inquiriesAccounts Receivable (AR)Monitor accounts receivable reportsManage client collections and follow up on outstanding invoicesCommunicate with clients to resolve billing and payment issuesHiring & Recruiting OperationsOwn and manage hiring requests and job setup processesPost job descriptions and manage listings in the applicant tracking systemSet up and administer role assessmentsConduct initial phone screens using hiring manager–provided criteriaDocument interview feedback and manage candidate recordsCoordinate and schedule interview roundsDraft offer letters and manage approval and signature processesEmployee OnboardingCoordinate equipment provisioning and systems access with IT partnersDistribute onboarding materials and guidesSupport first-day onboarding, including systems and administrative setupIT & Systems SupportServe as the internal point of contact for IT and cybersecurity partnersTroubleshoot systems, account access, and technology issuesCoordinate IT trainings and security communicationsManage user access across platforms and systemsHR & Benefits AdministrationAdminister HR policies, benefits, and employee records through the HR platformRespond to employee questions related to benefits, policies, and HR processesSupport compliance with internal HR guidelines and documentationEmployee OffboardingPrepare and manage employee separation documentationCoordinate system access removal with IT partnersEnsure return of company equipment and completion of required paperworkGeneral Operations & Administrative SupportMonitor time tracking compliance and follow up as neededCoordinate onboarding and setup for new vendors and contractorsDraft, update, and manage contractor agreementsTrack software contracts, licenses, and renewal datesSupport the Head of Operations with ad hoc operational requestsDistribute NDAs to vendors and external partners as requiredAssemble monthly utilization, client profitability and team profitability reports for leadership  Experience & Skills1+ years experience in this role or a similar role Experience managing payroll, contractor payments, and financial operationsFamiliarity with HR systems like TriNet or similar platforms, benefits administration, and hiring toolsExperience with Quickbooks Online Strong organizational skills with the ability to manage multiple workflows simultaneouslyExperience coordinating with external vendors, contractors, and service providersComfort handling sensitive financial and employee data with discretionStrong written and verbal communication skillsCore CompetenciesHigh attention to detail and follow-throughProcess-oriented with the ability to improve operational efficiencyProactive problem solver with strong ownership mindsetAbility to work cross-functionally with finance, leadership, and external partners Salary: $50,000Comprehensive health, dental, and vision coverageFully remote work environmentFlexible work schedulesUnlimited PTO and sick leave401(k) with company matchParental leaveHome office / work-from-home stipend
