Overview

The Executive Assistant to the CEO is a trusted, proactive and highly organised partner who plays a critical role in enabling executive effectiveness. This role is responsible for managing the CEO’s calendar, communication flow, executive cadence and strategic priorities, while also acting as a key connector across internal stakeholders and leadership teams.

Operating with discretion, sound judgement and strong business awareness, the Executive Assistant ensures the CEO is consistently well-prepared, well-informed and positioned to lead effectively. The role also contributes to broader executive operations by supporting leadership meetings, executive reporting cycles and CEO-led initiatives. Over time, the position will increasingly act as a thought partner in shaping how executive time, focus and energy are directed across the business.

In addition to supporting the CEO, the role provides high-level administrative support to the broader Executive team, including diary management, travel coordination and meeting preparation, enabling leaders to operate efficiently and effectively.

Embedded within the People & Culture function, this role works closely with internal partners to support executive communication, internal initiatives and cultural moments across the business.

This position requires a high level of initiative, discretion and attention to detail, along with the ability to operate confidently in a dynamic, fast-paced environment.

Primary Location

This role is currently open to all locations within Australia, however candidates based in Melbourne may be preferred.

Responsibilities

  • Proactively manage and optimise the CEO’s calendar, meetings, travel and priorities to maximise effectiveness

  • Prepare high quality materials for executive meetings, including agendas, briefing notes, presentations and supporting documentation

  • Act as a trusted gatekeeper, managing confidential information and prioritising internal and external communication

  • Support CEO and executive decision-making through research, concise briefings and regular reporting, including board cycles

  • Manage executive rhythms and cadences, such as leadership meetings, reporting timelines and key forums

  • Provide high level diary, travel and meeting support to the broader Executive team

  • Plan, coordinate and minute Executive meetings, ensuring strong documentation and clear follow-up actions

  • Support cross-functional initiatives by liaising with senior leaders across the business

  • Assist with preparation and delivery of executive, leadership and strategic events

  • Partner closely with People & Culture to share organisational insights, support internal communications and contribute to cultural initiatives

  • Support CEO led and company wide events in collaboration with People & Culture

Skills & Qualifications

  • Proven experience as an Executive Assistant or in a similar role supporting a CEO and Executive team in a fast-paced environment

  • Exceptional organisational skills with the ability to juggle competing priorities and stay calm under pressure

  • Strong written and verbal communication skills, with confidence engaging senior stakeholders

  • High level of discretion and professionalism when handling confidential information

  • Highly proactive and self-directed, with the ability to anticipate needs and take initiative without instruction

  • Outstanding attention to detail and pride in producing high-quality work

  • Strong proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel) and modern collaboration tools (e.g. Slack, Trello or similar)

  • Comfortable managing executive rhythms, meeting cadences, reporting and special projects

  • Adaptable and resilient, thriving in a dynamic, evolving business

  • Experience in a scaling or high-growth environment is an advantage

Remuneration

The advertised salary for this position is $90,000 - $110,000 + Super + Benefits
