Responsibilities:
Accounts Payable (AP) Responsibilities:
- Process invoices and match them with purchase orders.
- Verify and reconcile vendor statements and handle discrepancies.
- Prepare and issue payments via checks or electronic transfers.
- Maintain and update AP records, ensuring accuracy.
Accounts Receivable (AR) Responsibilities:
- Generate and send customer invoices.
- Process payments and apply them to appropriate accounts.
- Monitor overdue accounts and follow up on collections.
- Prepare AR reports and maintain customer account records.
General Ledger Support:
- Prep transactions to be posted to the general ledger and update journal entries.
- Assist with reconciling bank and credit card statements.
- Help maintain accurate and organized financial records.
Data Entry and Record Keeping:
- Enter financial data into accounting software or spreadsheets.
- Ensure all records are filed properly and accessible for audits.
- Maintain accurate documentation of financial transactions.
Assist with Financial Reporting:
- Compile basic financial reports for review by senior accountants.
- Assist in month-end and year-end closing processes by preparing summaries.
Administrative Tasks:
- Respond to inquiries from vendors, customers, and internal staff.
- Support the accounting team with routine office tasks (e.g., copying, scanning).
- Manage correspondence related to financial matters.
Key Skills Required:
- Attention to Detail: Ensures accuracy in data entry and record-keeping.
- Basic Accounting Knowledge: Understanding of debits, credits, and financial principles.
- Proficiency in Accounting Software: Experience with platforms like QuickBooks, Sage, or Excel.
- Communication Skills: Clear communication with vendors, clients, and colleagues.
- Organizational Skills: Manage multiple tasks and maintain records efficiently.
